Take inventory

Find out what data you have in five minutes

Most owners underestimate what’s sitting in their tools. If your AI assistant can see your email or files, this prompt makes it list every business tool you use and how far back each one goes. The output is ready to paste into the estimate form.

Use your AI assistant

Works in ChatGPT, Claude or Gemini when it’s connected to your email or drive. If it isn’t, paste in a list of your software invoices or sign-up emails instead and run the same prompt.

Prompt
You are helping me take inventory of the business software my company uses, so I can get an estimate for licensing our de-identified business data to AI labs.

Look through my email (receipts, invoices, sign-up and welcome emails, calendar invites) and any files you can see. Identify every business software tool we use. Exclude personal subscriptions.

For each tool, give me:
1. Tool name
2. Category: email & chat, docs & files, CRM & sales, customer support, code & projects, finance & HR, or industry software
3. Earliest date you can see us using it (month and year)
4. Rough volume, if visible (seats, tickets, messages, documents)
5. Who on the team uses it

Important: do not include any customer names, employee names, email addresses, phone numbers or other personal details in your answer. Tool names, dates and counts only.

Then write a short summary I can paste into a form, in this format:
Industry: [your best guess from what you saw]
Team size: [1–10 / 11–50 / 51–200 / 200+]
Years of history: [Under 1 year / 1–2 years / 3–5 years / 5+ years, based on the oldest tool]
Tools: [comma-separated list of tool names]

Then open Value my data and paste the summary into the form. We’ll review it by hand and email you an estimated range.
